What It Does

BotDesk connects to your Gmail inbox to help you respond to emails faster. When an email arrives, AI drafts a reply using your knowledge base—you just review and click Send.

Setup Steps

Step 1: Connect Gmail

  1. Go to Actions → Gmail in BotDesk
  2. Click "Sign in with Google"
  3. Select your Gmail account and grant access

Step 2: Set Rules

Define which emails to draft:

  • All incoming emails
  • From specific domains (e.g., @client.com)
  • Containing specific keywords

Step 3: Review Mode

By default, emails are saved as Drafts only—you must click Send.
For full automation, enable "Auto-Send" (recommended only after testing).

How It Works

  1. Email arrives in your inbox
  2. BotDesk analyzes the content
  3. AI drafts a reply based on your knowledge base
  4. Draft appears in your Gmail Drafts folder
  5. You review, edit if needed, and click Send

Security

  • BotDesk uses restricted Gmail scopes
  • We do not store your email content after processing
  • Works with personal Gmail and Google Workspace accounts
  • OAuth can be revoked anytime

Notes

  • Long threads may be truncated due to AI context limits
  • Best for high-volume, repetitive email support scenarios
